5 monday.com Automations Every SME Should Set Up Today
Most businesses use less than 20% of what monday.com can do. These five automations alone can save your team hours every week, and they take under an hour to set up.
If you're using monday.com primarily as a task list with coloured statuses, you're leaving the majority of its value untouched. The platform's real power is in its automation engine, and most SMEs we speak to have set up fewer than five automations, if any.
Here are five automations that consistently deliver immediate, visible time savings for the businesses we work with. None of them require technical knowledge. All of them can be live within an hour.
The first automation is status-triggered notifications. When an item's status changes to "Stuck" or "Overdue", automatically notify the item owner and the board manager via email or Teams/Slack. This alone eliminates the need for daily standups to surface blockers, the platform surfaces them for you.
The second is due date alerts. Set an automation to notify the assignee three days before any due date. Pair this with a second automation that moves the item to a "This Week" group when the due date is within seven days. Your team stops missing deadlines because they stopped seeing the deadline coming.
Third is automatic item creation for recurring tasks. If your business has weekly or monthly recurring work, payroll preparation, client reporting, supplier orders, use monday.com's recurring item automation to create these at the right interval with the right assignee already set. It's the smallest thing, but it eliminates the mental overhead of remembering what needs to happen.
Fourth is cross-board updates. When a project reaches a certain stage on one board, automatically create a linked item on a different board. For example: when a sale is marked "Won" on the Sales board, automatically create a project setup item on the Delivery board. This handoff used to require a conversation or a manual copy-paste. Now it's instant and auditable.
Fifth is CRM-style follow-up scheduling. When a lead status changes to "Proposal Sent", set an automation to create a follow-up task on the same item due in three business days, assigned to the account owner. You've just built a lightweight sales cadence without a CRM subscription. These five automations are a starting point, not a ceiling.
