Eliminating Manual Invoicing for a Professional Services Firm

The problem

A 25-person consulting firm was spending over 12 hours per week manually generating invoices in a spreadsheet, chasing payments by email, and reconciling receipts against their Xero ledger. Late payments were averaging 47 days and cash flow was unpredictable.

What we built

worqinc designed an end-to-end automated invoicing pipeline connecting monday.com (project tracking) → Tracket (budgets, time and billable amounts) → PandaDoc (invoice generation) → Xero (ledger posting) → Paidnice (payment chasing). When a project milestone was marked complete in monday.com, Tracket worked out what was billable against the project budget and a branded invoice was generated in PandaDoc and sent automatically, with progressive follow-up emails triggered by Paidnice at 7, 14, and 28 days past due.

The result

Average payment time dropped from 47 days to 19 days. The finance team reclaimed 10+ hours per week. Late payment write-offs fell by 68% in the first quarter after launch.

Building a Self-Service Client Portal for a Property Management Company

The problem

A Malta-based property management company with 200+ managed units was fielding 60–80 tenant support requests per week via WhatsApp and phone calls. There was no central record of issues, SLA tracking was non-existent, and staff were context-switching constantly.

What we built

worqinc deployed its own client portal, branded and mobile-first, as the single front door for tenants: they log maintenance requests, upload photos and track resolution status there. The portal sits on top of monday.com, automatically creating board items, assigning contractors, and sending status updates. Managers received a real-time dashboard of open issues, overdue items, and contractor workloads.

The result

Phone and WhatsApp support volume dropped by 72%. Average resolution time improved from 6.2 days to 3.1 days. The company onboarded 40 additional units within six months without hiring additional staff.

CRM & Work OS

Running a Shipping and Logistics Company on monday.com as CRM and Work OS

The problem

A shipping and logistics company kept its clients, enquiries and internal work in separate spreadsheets and inboxes, while its operational systems held the shipment data. There was no single place to see a client, what was in progress for them and who owned it.

What we built

worqinc set monday.com up as the company's internal CRM and Work OS: clients, contacts and opportunities in monday CRM, and the internal operations work on monday Work Management boards. Rather than a fragile live integration, data moves between monday.com and their existing systems through a structured Excel export and import, with templates and column mappings so every transfer follows the same routine.

The result

The team works from one shared view of clients and jobs, with clear owners and statuses. Moving data in and out of their other systems is a repeatable routine instead of retyping.

A Bespoke Quotation Builder for a Local Tiling Company, Synced to monday.com and Xero

The problem

A local tiling company built quotes by hand, then re-entered the same details for accounting and to plan orders, shipments and stock. Every quote meant typing the same information more than once.

What we built

worqinc built a bespoke quotation builder for their products and pricing. Accepted quotes sync to Xero and to monday.com, where shipments and stock logistics are managed, and those logistics records in turn sync back to Xero so accounts and operations stay aligned.

The result

A quote is entered once and flows through to sales, logistics and accounts, so the team spends less time re-keying and more time quoting and fitting.

HR & Service Management

Digitising HR for a Local Agency with monday service and as its Employee Portal

The problem

A local agency handled HR requests, approvals and documents through email and paper forms, so it was hard to see what had been asked for, by whom and where it stood.

What we built

worqinc moved the agency's entire HR process onto monday service. Employees use the monday service customer portal, set up internally as an employee portal, to raise requests and follow their progress, while HR works every request as a ticket with clear owners, statuses and automations.

The result

HR runs from one place with every request tracked from submission to close, and employees can see the status of their own requests without having to chase HR.

Hospital Inventory on Cin7, Connected to Xero, for a Local Hospital

The problem

A local hospital needed a reliable way to track medical supplies and consumables across its stores, and to have stock purchases and movements reflected in its accounts without entering the same data twice.

What we built

worqinc implemented Cin7 as the hospital's inventory system for stock levels, purchasing and stock movements, and connected it to Xero so purchase orders, supplier bills and inventory values flow through to the accounts.

The result

Stores and finance work from the same figures: the team can see what is in stock and what has been ordered, and the accounts stay in step with inventory without manual re-entry.
