From Spreadsheets to Systems: A Property Manager's Tech Journey

One of Malta's busiest property management firms was running their entire operation on spreadsheets and WhatsApp. Here's what happened when we built them something better.

When we first met the team at this Malta property management firm, they were managing over 200 units across residential and commercial properties. Their tech stack: Excel, WhatsApp, a shared Dropbox folder, and institutional memory. It was working, in the sense that things were getting done, but every person on the team was operating at near-capacity just to keep up with the volume.

The biggest pain was maintenance requests. Tenants called or WhatsApp'd the team directly. Someone would write it down, maybe enter it into a spreadsheet, and eventually assign a contractor, over a separate WhatsApp. There was no central log of what was outstanding, no way to track contractor response times, and no SLA visibility whatsoever. The team was spending more time coordinating than resolving.

We started by mapping the current workflow end-to-end, not just the "happy path" but all the exceptions, escalations, and edge cases. The team was patient and thorough in these sessions, which made the design phase much cleaner.

The solution we built was a branded tenant portal, mobile-first, because that's where tenants are, where residents could log maintenance requests, describe the issue, upload photos, and then track the status of their request in real time. No phone calls. No WhatsApp threads. A clean, professional interface that reflected the quality of the properties being managed.

On the back end, every tenant submission created a board item in monday.com automatically: categorised by property, issue type, and priority. The system assigned a contractor from a pre-configured list based on issue type and property location, sent the contractor a notification with the details and property access instructions, and sent the tenant an acknowledgment with an expected response timeframe.

When a contractor updated their status, job booked, in progress, completed, those updates flowed back through to the tenant portal automatically. The tenant saw live progress. The property manager saw a real-time dashboard of all open issues, overdue items, and contractor workloads. Nothing lived in someone's head or a private message thread.

The results were immediate. WhatsApp and phone support volume dropped by 72% within the first month. Average resolution time halved, from 6.2 days to 3.1 days. Six months after launch, the firm had onboarded 40 additional units without hiring a single additional team member. The technology had created capacity that didn't exist before. That's what we're trying to build every time.
